Resource Administrator

Job Summary

The Resource Administrator provides support to the Resources and Safety & Quality departments. The selected candidate will assist with union employees, STORM work preparation, immigration, and reporting. They will also respond to Resource and Apprenticeship related inquiries from employees, OpU’s and external partners. This role will also include providing general office administration support.

Responsibilities

  • Support and demonstrate commitment to the Goals and Visions of Allteck.
  • Create and update all internal and external databases with employee information.
  • Communicate and follow up with employees for data collection.
  • Onboard and offboard union employees, ensuring process is followed accurately.
  • Plan apprentice technical training, in coordination with JLATA.
  • Prepare and distribute reports as required.
  • Perform monthly audits on internal and external databases.
  • Provide administrative support for union immigration work authorizations; LMIA, L1, PR, work visa renewals and assessments as required.
  • Maintain and organize multiple shared inboxes. Ensure all emails are flagged and responded to in a timely manner and filed appropriately.
  • Assist the General Resource Manager with logistics of STORM projects (crew list, Port of Entry pre-clearance, crew lead contact sheets, Visa limits and IT assets).
  • Create crew magnets for the General Manager of Resources.
  • Code invoices for department expenses into VISA/TAP and report monthly accruals.
  • Processes employee daily timesheets & expense claims.
  • Create and update process manuals and flowcharts for all administrative tasks.
  • Administrative duties such as copying, faxing, scanning, filing documents, etc.
  • Provide support to other departments as required.

  • Possess a high level of moral judgment for handling confidential information
  • Attention to detail and a high degree of accuracy
  • Strong work ethic and positive team attitude

Education, Training & Experience

  • High School completion
  • Two years of recent and related administrative support experience
  • Administrative certificate preferred and considered an asset
  • Experience with CRM software (SalesForce, in particular)
  • Computer literacy (MS Office applications and Adobe, etc.), with typing speed of 40-50 wpm
